Records Mapping

Recognizing the Value and Impact of Your Information Assets

Millican & Associates' unique and flexible Records Mapping process provides the key to managing one of your organization's most vital resources - its information. The growth of computing and communications technologies is producing an explosion of business data and records. Maintaining leadership requires rigorous management of information assets: Your organization's focus depends on the ability to separate important information from the non-essential, and knowing what information assets you have available is critical to your organization's efficiency.

• If it is valuable, capture it, protect it, and make it accessible
• If it is no longer valuable, get rid of it
• If it never was valuable, quit creating it

Power to Align Your Information with Your Business Mission

Through our elegantly simple, yet immensely powerful Records Mapping process, Millican & Associates can identify your information assets, their accessibility, their value to your business functions, their primary users, and those responsible for creating and maintaining these important organization assets.

Central to the Records Map concept is identifying the objects that transport information, then defining metadata about those objects: Millican & Associates classifies a group of similar objects that transport information as a Record Type, metadata about that Record Type are defined as Map Elements and collected into a Record Type Profile, and Record Type Profiles are in turn assembled into the Records Map. This multidimensional structure provides a variety of perspectives and new insights into the relationship of information to organizational performance.

Records Mapping is from the top down and is vertically scalable. In other words, it only needs to be taken to the level of detail that makes economic sense.

Further, the scope of the information accessible to the Records Map can be expanded by relating it to existing and future information systems.

Millican & Associates and Your Records Map

Millican & Associates draws upon our vast experience with the information processes of a variety of industries to rapidly, accurately, and economically complete each of the steps required to create the Records Map. We know which Record Types are often ineffectively treated, and what questions to ask to bring them to light.

Millican & Associates begins with a basic set of Map Elements, assesses whether those elements are sufficient or require additions or modifications, and determines important links to existing information systems. For example, organizations in highly regulated industries may need to identify what Record Types are used to comply with specific regulatory programs, or organizations dealing with highly sensitive information may wish to verify that departments handling those Record Types are cognizant of the applicable policies and controls.

Finally, Millican & Associates has a library of basic customizable Records Map reports and graphical outputs, and we know which perspectives provide the best views in response to different business challenges.

And throughout, Millican & Associates ensures your decision-makers are informed of policy issues, and your employees are provided with the transfer of knowledge necessary to understand and make full use of the Records Map, and to maintain it in the future.
